Was du angeben musst

Postkarten enthalten fast immer Daten anderer Menschen: Handschrift, Namen, Anschriften, Grüße.

- Deine Daten bleiben gespeichert, solange dein Konto besteht.

Privacy Policy
This policy explains which personal data the “Dearly Kept” app and this website process, for what purpose and on what legal basis.
Controller
The controller responsible for data processing is:
Benedict Heine
Marinesteig 8
14129 Berlin
Germany
Email: support@dearlykept.de
There is no data protection officer. The processing stays below the statutory threshold.
What data we process
- Account data: depending on how you sign in, your email address, your Apple ID (Sign in with Apple, optionally with an anonymous relay address) or your Google account. If you sign in with email, also your password, stored only as a hash. Plus your display name and username, and optionally a profile picture, a short bio, your home town and the colours you pick for profile and paper. The profile picture is stored under an address that contains your account ID and is shown to your friends.
- Content: the postcards, folded cards and letters you record: photos of the front, back and further pages, place, country, date, occasion, comment, recognised text, summary and translation. Plus the people you create with their names and alternative names (nicknames), the countries you have visited and the cards you have starred.
- Social data: friendships, inner circle, nicknames and the links between people and profiles that you create yourself. Optionally your postal address and your wish countries, both visible to confirmed friends only, the address to your inner circle only if you prefer. Pairings between a sent card and the matching received one including reactions (“thanks”) and, if you release them, a copy of the card’s back or inside for the sender and copies of your starred cards for your friends.
- Trips: if you confirm a trip the app has detected, we store the country, the period and the audience you chose. Friends in that audience who wish for a card from that country get a notification with your display name. Detection uses only your device’s time zone, never your location.
- Invitations: your invitation code and, when someone redeems it, the connection between the inviting and the invited account.
- Usage events: which features you use and how often (such as “card saved” or “image shared”), without content, names or addresses, deleted after 180 days, can be switched off under Settings › Data › “Share usage statistics”.
- Usage data: the time of your last activity and the number of app launches per day, to measure active use.
- Push notifications: if you allow them, a device token issued by Apple so we can notify you about arrived cards, pairings, reactions, trips and gifts. Apple receives the token, the kind of notification and the display name of the person involved. Your device composes the sentence.
- Purchase and subscription data: if you buy subscriptions or packs, Apple’s transaction identifiers, the product, the period and your plan. We verify every purchase with Apple and receive Apple’s notices about renewals, cancellations and refunds. Apple handles payment, we never see payment details.
- AI accounting: for every analysis and translation the time, level, model, number of images and cost, without content.
- Moderation data: when you report or block a profile, the account IDs involved, the reason, your explanation and the review status.
- Device identifier at sign-up: when you create an account we process the vendor-scoped device identifier that Apple assigns (identifierForVendor) to stop the one-time starting credit from being claimed again through repeated registrations.
- On your device only: contacts (if you pick a contact, the app takes over name and photo for a person, photo and link to the contact stay on the device, the name is synced like any other person), your location (see location lookup), the diagnostics log (IDs, counters and errors, no card text, it leaves the device only when you share it yourself under Settings › About), your ZIP backups and the local notifications for memories, the year in review and pending analyses.
What you have to provide
An account needs a sign-in with Apple, Google or email and a username. Without an account the app cannot be used. Everything else is optional.
Purposes and legal bases
- Providing the app (account, storing and syncing your cards, social features, translation, location lookup): performance of a contract, Art. 6(1)(b) GDPR.
- AI analysis of cards and names as hints (AI Pro): your consent, Art. 6(1)(a) GDPR. No cloud analysis starts without your consent.
- Push notifications and location for travel hints: your consent through the iOS prompt, Art. 6(1)(a) GDPR, revocable at any time in the system settings.
- Usage events and usage data: legitimate interest in operating and improving the app, Art. 6(1)(f) GDPR.
- Purchase processing: performance of a contract, Art. 6(1)(b) GDPR.
- Reports and blocks: legitimate interest in a safe community and in preventing abuse, Art. 6(1)(f) GDPR.
- Abuse protection at sign-up: legitimate interest in preventing repeated registrations to obtain credit, Art. 6(1)(f) GDPR.
- Operating this website: legitimate interest in secure and functional delivery, Art. 6(1)(f) GDPR.
AI analysis (cloud)
When you start the AI analysis of a card, or have switched on automatic start, the photos of the card (up to eight pages for folded cards and letters), the card type and your language choice go to our server (Supabase, Frankfurt) and from there to Anthropic, PBC (USA). All three levels (AI, AI Plus, AI Pro) use models of the Claude family. The model reads handwriting and print straight from the image and suggests place, country, date, sender, occasion and a summary.
This happens only after your explicit consent. You give it once and can withdraw it at any time under Settings › AI analysis › “Send photos for analysis”. Your friend list, your contacts and your device’s text recognition are not sent. Matching recognised senders against your people happens on the device. Only with AI Pro, and after a second consent, can you send the names and alternative names of your people as hints (setting “Names as hints”) so that nicknames are recognised.
If you have the recognised text of a card translated, that text (no photos) goes through our server to OpenAI (USA). You start a translation yourself, per card.
Anthropic and OpenAI process the data on our behalf and, under their API terms, do not use it to train their models. The transfer to the USA is safeguarded by the EU Standard Contractual Clauses.
The analysis makes no decision about you. It produces suggestions that you accept or discard one by one. There is no automated decision-making within the meaning of Art. 22 GDPR.
A simple text recognition by Apple also runs on your device. It only provides fallback text when the model transcribes nothing, and it detects Postcrossing IDs. It transfers no images.
People on your postcards
Postcards almost always contain other people’s data: handwriting, names, addresses, greetings. As long as you use the app purely privately, this falls under the household exemption in Art. 2(2)(c) GDPR. If you use card contents beyond that, for instance by publishing them, you are responsible for that processing yourself. We recommend obscuring other people’s names and addresses before publishing anything.
Location lookup
To convert place names into coordinates and back we use Apple’s map service. The relevant place information is transmitted to Apple for this purpose. The app accesses your device’s location services only if you switch on “Location for travel hints” in Settings. It then determines, at most every six hours and only roughly, the country you are in and compares it on the device with your friends’ wish countries. Your position is neither stored nor sent to our server. Only the conversion of coordinates into a country runs through Apple.
Storage on your device
The app stores your collection, your settings, caches and the sync queue on your device. This is necessary for the app to work (§ 25(2)(2) TDDDG, the German law implementing the ePrivacy rules). There is no tracking and no advertising identifier.
This website
The website is hosted by Cloudflare. When you open a page, Cloudflare processes technically necessary connection data such as your IP address, the time of access, the address requested, the amount of data transferred and your browser identification. This is required to deliver the site and to defend against attacks (Art. 6(1)(f) GDPR). We keep no logs of this website ourselves. Cloudflare processes on our behalf and is certified under the EU-US Data Privacy Framework.
This website sets no cookies, embeds no external fonts or scripts and uses no analytics or advertising tools. When you switch the language above, that choice is stored in your browser’s local storage so it is remembered on your next visit. This serves only the function you asked for (§ 25(2)(2) TDDDG) and can be cleared at any time through your browser’s website settings.
There is no contact form. If you write to us at the address given above, we process your message solely to handle your request.
Recipients and transfers to third countries
- Supabase, Inc. (USA): database, file storage, sign-in, server functions and realtime updates. The data is stored in Frankfurt (region eu-central-1). Where Supabase accesses it from the USA, for instance for maintenance, the EU Standard Contractual Clauses apply.
- Anthropic, PBC (USA): AI analysis on all three levels, only with your consent. EU Standard Contractual Clauses.
- OpenAI (USA): translation of recognised text, only when you start it. EU Standard Contractual Clauses.
- Resend, Inc. (USA): sending system emails such as the confirmation email and password resets, sent through the EU region in Ireland. Resend is certified under the EU-US Data Privacy Framework, and the EU Standard Contractual Clauses apply in addition.
- Cloudflare, Inc. (USA): hosting of this website. Certified under the EU-US Data Privacy Framework.
- Apple (Apple Distribution International Ltd., Ireland, and Apple Inc., USA): “Sign in with Apple”, push notifications, map service, payment processing and app delivery. Apple bases transfers to the USA on the EU Standard Contractual Clauses.
- Google LLC (USA): only if you sign in with Google. Certified under the EU-US Data Privacy Framework.
These services process data on our behalf (Art. 28 GDPR). For sign-in and payment, Apple and Google act as controllers in their own right. Transfers to the USA rely on the adequacy decision for the EU-US Data Privacy Framework (Art. 45 GDPR) where the provider is certified, and otherwise on the Standard Contractual Clauses of the European Commission (Art. 46(2)(c) GDPR). You can request a copy of the clauses. We do not pass on your data for advertising purposes and we do not sell it.
Retention and deletion
- Your data is kept for as long as your account exists.
- Deleted cards first go to “Recently deleted” and are removed automatically after 7 days. On the server the data then remains for up to 30 more days as a technical backup before it is removed. Of every deleted card only its ID is kept for up to one year, so that other devices do not upload it again.
- You can delete your account in the app at any time (Profile → Settings → Account → Delete account). The data on the device is removed at once, the cloud data is kept for 30 days. If you sign in again within that time, everything is back. After that we delete account, cards, images and profile for good. Your username stays reserved during that period.
- Usage events are deleted after 180 days.
- Reports are stored for as long as necessary for review, abuse prevention and documentation. Blocks remain in place until lifted or until the account is deleted.
- Connection data of this website is kept briefly by Cloudflare only, under its own retention rules.
Your rights
You have the right of access (Art. 15), rectification (Art. 16), erasure (Art. 17), restriction of processing (Art. 18) and data portability (Art. 20 GDPR). You can export your collection as a ZIP yourself at any time (Settings › Data › Backup).
Where we process data on the basis of a legitimate interest, you have the right under Art. 21 GDPR to object to that processing at any time on grounds relating to your particular situation.
You can withdraw consent you have given, for example for the AI analysis, at any time with effect for the future, in the app through the switches named above. The lawfulness of processing carried out until then remains unaffected.
For any request, write to support@dearlykept.de. You also have the right to lodge a complaint with a data protection supervisory authority. The authority responsible for us is the Berlin Commissioner for Data Protection and Freedom of Information (Berliner Beauftragte für Datenschutz und Informationsfreiheit), Alt-Moabit 59-61, 10555 Berlin, Germany.
Data security
Data is transmitted encrypted (TLS). Access to your data is restricted by server-side access rules to your account and your confirmed friends.
Minimum age
Dearly Kept is for people aged 16 and over. If you are younger, you may only create an account with the consent of a parent or guardian, and they have to give the consent for the AI analysis. We do not collect age information and the app is not directed at children.
Changes
We update this policy when the app or the legal situation changes. The version available in the app and at this address applies.
